Your letter, written once. Sent to every name on your list.

Visa letters, invitations, certificates. Bring the letter and your registration list, and get one finished PDF per person, with missing details flagged first.

Example: one invitation letter filled in for 312 people from a registration list. The last person has no arrival date, so InviteLetter names them and the missing detail before any file is made.

Three steps from spreadsheet to signed letters

You keep working in the spreadsheet you already have. InviteLetter uses its column names to fill the letter.

  1. Bring your letter

Upload the Word letter you already use, with each detail typed as {{Column Name}}. Or write the letter from scratch and add your logo and signature.

  2. Check the wording

Edit the letter on the page itself. Details from your list show as yellow tags.

  3. Make every letter

Add your CSV. People with missing details are shown in red before anything is made. Make the complete letters now and correct the rest later, here or in your sheet. Then download your letters: one PDF per person, each named the way you choose, or all of them in one PDF to print.

The same 312 letters, two ways

1,560 steps by hand vs 3 per list. Every letter by hand is its own round of copy and paste, and every round is a chance to slip.

By hand, five steps are repeated for each of 312 people, 1,560 steps in all, and mistakes turn up after sending. With InviteLetter, the letter is set up once; each new list takes three steps (add the CSV, check the flagged rows, download), and gaps show before anything is made.

Built for the letters that take a whole afternoon

Visa invitation letters

Delegates from many countries, each needing their own passport details on a signed letter, with every gap named before the embassy sees it.

Certificates of attendance

A certificate for every participant on the day the programme closes.

Invitations with a name on every one

Gala dinners, summits and award evenings. Guests, speakers and sponsors, each with their own table and details.

Any letter with a list behind it

If you would otherwise copy names into Word one by one, InviteLetter can do it.

Privacy by design

Your lists are full of personal data. We never store them.

Names, ID and passport numbers, birth dates, addresses. InviteLetter uses them to make your letters and then lets them go.

We work with event teams in Singapore and Thailand. Pulsar Interactive acts as your data processor under both countries' PDPA, with a data processing agreement on every paid plan.

What we keep

  • Your templates, logos and signatures
  • How many letters you made
  • Your account and billing details

What we never keep

  • Your lists of people
  • Any personal data from them
  • The finished letters

Letters are made in Singapore, held in memory only while they are created, and never saved or logged.

Questions

What if a detail doesn't match my list?

You check every template before it is used. When you add your list, any detail in the letter that isn't a column in it is named straight away and shown as missing on every letter, so nothing is filled in silently.

Do I need to change my spreadsheet?

No. Export it as CSV. InviteLetter reads the column names in the first row and uses them as the details in your letter.

Can I use my own logo and signature?

Yes. Upload them once and they are saved with the template. They are kept private to your account.

What can I start from?

The Word letter (.docx) you already use. If you only have it as a PDF or on paper, write it from scratch in InviteLetter instead, then add your logo and signature.

Tell us the letter you dread most.

InviteLetter is opening to a small number of event teams first. Tell us about your letters and we'll reply within one working day to set up your access. We will never ask for your list.
