Start from our free speaker invitation letter template, with a CSV list template to match.

Why it takes the whole afternoon

  1. Every speaker's letter names a different session, date and hotel.
  2. Delegates who need a visa need a letter the embassy will read closely.
  3. Copying details from the programme sheet into each letter is where the mistakes start.

How it works

Set the letter up once. Each new list is three steps: add the CSV, check the flagged rows, download.

By hand, five steps are repeated for each of 312 people, 1,560 steps in all, and mistakes turn up after sending. With InviteLetter, the letter is set up once; each new list takes three steps (add the CSV, check the flagged rows, download), and gaps show before anything is made.

Missing details flagged first

When you add your list, anyone with a gap is named, with the missing detail in red, before a single file is made. Make the complete ones now and fix the rest later.

Processed in the session, never stored.

Your list is read to make the letters, held in memory only while they are created, and never saved or logged. We keep your templates, logo and signature, never your people.

The plan for this

Questions

Can speakers and delegates share one list?

Yes. Keep one list with a column for each detail. Use one template for speakers and one for delegates, or one letter whose wording suits both.

Can some letters carry a visa paragraph and others not?

Yes. Keep a second template with the visa paragraph and run it for the people who need one. Each country asks for different things, so check the visa page of the country being visited.

Where do passport numbers go?

In your list, as a column like any other. The list is processed in the session to make the letters and never stored.

How are the files named?

Each PDF is named the way you choose, for example by country and name. Or download every letter in one PDF to print.
